Letter from SIRI asking for documents — what it means and how to reply

A letter from SIRI (the Danish Agency for International Recruitment and Integration) lands differently from any other letter — your residence, your job, your plans. Take a breath: a request for additional documents is routine case processing, not a decision. Your case simply cannot move until they have what they asked for. Here is how to turn the letter into a complete reply package before the deadline.

Short answer: Do four things, in order: (1) find the DEADLINE in the letter and put it in your calendar today — SIRI deadlines are often short; (2) make a checklist of every document the letter asks for, in the exact wording the letter uses; (3) gather the documents in the format requested — for some document types SIRI's requirements pages describe attaching the original plus a multilingual standard form or translation; (4) send everything in ONE package through an official channel — the contact form on nyidanmark.dk (most secure) or Digital Post with MitID — always with your case number, and keep the receipt. If you cannot obtain a document in time, write to SIRI through the same channel BEFORE the deadline and say when you can deliver it.

What kind of SIRI letter is it?

The letter says … It means Your move
«We need additional documents/information» Routine: the case is paused until you deliver Checklist → gather → send in one package before the deadline
«Remember to record biometrics» A step with its own short window Book it now; if impossible in time, tell SIRI when you can
«You have the right to comment before we decide» (partshøring) SIRI is CONSIDERING a decision and must hear you first Reply in writing before the deadline — and for anything beyond facts and documents, get real advice (see below)
«Decision» / «Afgørelse» The case has been decided Read the appeal guidance in the letter; note the appeal deadline. This page does not cover appeals

Build the reply package

  1. Copy the letter's own list. Write each requested item as a checkbox, using the letter's exact words — do not paraphrase, and do not add documents nobody asked for.
  2. Match each item with a document you have — and mark what is missing. For document formats, follow the letter and SIRI's documentation requirements for your case type (for some documents that means the original plus a multilingual standard form or a translation).
  3. Put your case number on everything — the case number (or person ID) from the letter, on the message and ideally in each file name.
  4. Send it as ONE delivery — one complete package is easier to process than five loose mails, and gives you one receipt to keep.

A short cover note you can copy:

«Case no. [number from the letter]. Please find enclosed: 1) [document, in the letter's own wording], 2) [document]. Item [X] is not yet available — I expect to send it by [date]. Please confirm that you have received this. Kind regards, [name, person ID from the letter]»

The right channel

SIRI's own guidance: the most secure way to send additional documents is the contact form on nyidanmark.dk — submitting there is, in SIRI's words, comparable to handing the letter over in person. The alternative for confidential material is Digital Post (requires MitID): log on to lifeindenmark.dk or e-Boks and search for «Styrelsen for International Rekruttering og Integration». Avoid ordinary e-mail for sensitive documents, and keep the confirmation you get when you submit.

The deadline — and what to do if you cannot make it

  • The deadline stands in YOUR letter. Calendar it the day the letter arrives, with a reminder a few days before.
  • If a document cannot be obtained in time (an employer is slow, a foreign authority is closed), write to SIRI before the deadline through the same channel: which document, why it is delayed, and the date you can deliver. A short factual message beats silence — whether more time is granted is SIRI's call.
  • After sending: keep the receipt, note the date, and follow up through the same channel with your case number if you hear nothing for a long time.

Where this page stops: this is letter logistics — deadlines, documents, channels. If your letter concerns refusing, revoking or not extending your permit, the CONTENT of your reply can decide the case: get real advice from an immigration lawyer or a free counselling service (for example the Danish Refugee Council's volunteer counselling) before you answer. Sofia can still help you understand the letter and organise your documents — she will not argue your case.

If Danish letters are the hard part

SIRI writes in English in many cases, but decisions and related letters from other authorities arrive in administrative Danish. Photograph the letter and get it explained in plain English — what is asked, the deadline, the channel — then build your reply package calmly. That is exactly what Sofia (our AI secretary) does: explain the letter, find the deadline, help you draft the factual cover note, and remember the case when the next letter arrives.

Frequently asked questions

How fast do I have to reply to a SIRI document request?

Use the deadline printed in YOUR letter — it is often short (letters with 14-day windows are common). Put it in your calendar the day the letter arrives, and aim to send everything in one complete package well before the date.

Can I get more time if I cannot obtain a document by the deadline?

Write to SIRI immediately through the same official channel, explain which document is delayed and when you can deliver it. Do not wait for the deadline to pass — a short factual message beats silence. Whether an extension is granted is SIRI's decision.

What format do the documents need to be in?

Follow the letter. As a general rule SIRI's documentation pages describe attaching the original document, and for some document types a multilingual standard form or a translation — check the requirements page for your case type on nyidanmark.dk, and send copies in the format the letter asks for.

I already sent the documents but heard nothing back. What now?

Keep your receipt or the confirmation from the contact form, note the date, and give processing some time before following up through the same channel with your case number. If you sent documents another way (e-mail, post), mention that in the follow-up so the case worker can locate them.
